Orbit4 is a digital operations platform designed to help fitness and leisure operators manage assets, service workflows and supplier relationships across their facilities.
While the fitness industry has rapidly adopted technology to enhance the member experience, many operational processes behind the scenes are still managed through spreadsheets, email threads and disconnected systems. Orbit4 was created to modernise this operational infrastructure by bringing asset management, service coordination and supplier collaboration into a single connected platform.
The system provides operators with a structured view of their entire equipment estate, allowing teams to track assets across their lifecycle, monitor service history, manage warranties and coordinate preventative maintenance. Service tickets can be logged and routed directly to internal teams or external service providers, creating a clear and accountable workflow for resolving issues and maintaining equipment reliability.
A key part of Orbit4’s approach is its ability to connect operators with the wider network of partners involved in facility operations. Through direct integrations with equipment manufacturers, service providers and specialist fitness technology companies, the platform creates a shared operational environment where asset data, service activity and usage insights can be accessed in real time.
Integrations with technologies such as Cyclops and Ecofit allow equipment utilisation data to be captured and analysed alongside maintenance records, while connectivity with FitnessKPI helps operators combine operational and performance data to better understand how their facilities are running.
Orbit4 also integrates with enterprise systems including Salesforce, SAP, Oracle, Topdesk, Microsoft, Xero and Zendesk, allowing operational workflows, inventory management and financial processes to connect seamlessly with existing business systems.

An exciting partnership between fit-tech specialist Orbit4 and Gymbox, has created impressive results in the form of streamlined operations and substantial savings. It’s also been optimising and simplifying the legal due diligence process.

Optimising assets
“We now have full visibility of our assets, what they’re currently worth and whether we’ve overspent on servicing costs,” says Diaper. “In addition, we can utilise Orbit4 data to have a meaningful conversation with our suppliers so we’re getting the best possible service standards. This is essential to maximising our customer experience and operational excellence.”
Early in 2022, the Orbit4 team ‘asset-registered’ the entire Gymbox estate, onboarding every machine and piece of equipment into its system to record the manufacturer brand, make and Orbit4’s technology is generating significant savings and streamlining operations for premium operator Gymbox Get intimate with your assets model, as well as uploading serial numbers, photos, service contract status and valuations.
The inclusion of the Orbit4 STM module (service ticket manager) instantly connects Gymbox to service providers digitally through a mobile app and online platform, meaning repairs and fixes are completed efficiently, and Gymbox can review real-time data versus agreed SLAs (service level agreements).

What challenges were you facing before partnering with Orbit4?
The fitness equipment across our estate was a mix of ages and sourced from a variety of manufacturers, while some of the warranties were expiring. We were experiencing long lead times for equipment parts, resulting in equipment being out of order for extended periods of time. In addition, we didn’t have accurate information about the value of our assets or our likely maintenance costs going forward.
What were the key drivers for engaging Orbit4?
We wanted to get a clearer picture of these values and costs, so we could make smarter, evidence-based investment decisions. Furthermore, we wanted to improve our maintenance schedule so fewer pieces of equipment were out of action at any one time. How was the onboarding process?
Following a tender process, managed by Orbit4 on our behalf to assess the market for service providers, we appointed our preferred provider under a new contract and SLA. Orbit4 onboarded the assets in our sites onto its digital platform quickly and efficiently and the new service provider started servicing equipment immediately. Our service provide has been great to deal with, easily contactable and with efficient responsetimes when contacted by our operational team using the Orbit4 mobile app.
The rapid onboarding and collaborative working enabled BH Live to see the value of working with Orbit4 in less than three months from the initial meeting.
What impact you have experienced?
Our net promotor score has vastly improved across several of our sites and our membership attrition has significantly reduced since our partnership with Orbit4, due to the improved service we’re able to offer our customers.
Only a handful of equipment is ever out of order across the estate and repairs rarely take longer than 72 hours to complete.
What difference has Orbit4 made day-to-day?
The ability to remotely look at equipment value, check the condition of equipment and manage our assets enables BH Live to make informed decisions about investment.
The Orbit4 platform also allows us to monitor all relevant KPIs relating to our assets on a day-to-day basis and to ensure we’re delivering a better customer experience.
Would you say to other operators who are considering Orbit4?
The impact Orbit4 has had on our organisation has been fantastic, as making evidence-based decisions in regards to your gym floor assets is key to improving your customer experience.

Orbit4 announces winners of industry-wide X400 Challenge
Orbit4 has announced the winners of its X400 Challenge, following a nationwide campaign that brought together more than 30 teams and over 100 fitness industry professionals.
Launched on National Fitness Day at Macclesfield Leisure Centre, the campaign was designed to unite operators, suppliers and fitness professionals through a shared physical challenge. It concluded with a high-energy finale at Wyndley Leisure Centre.
The fastest overall time was recorded by The Brinny Boys (Life Leisure), who secured free entry to an ATHX Games event for each team member.
Sarah Potter, fitness and group exercise 0perations manager at Life Leisure, said: “We’re delighted to have won the Orbit4 X400 Challenge with a time of 24:21. It was a real team effort, with everyone pushing each other every step of the way. Thanks to Orbit4 for delivering such a great event—we’re proud to represent Life Leisure and hope it inspires others to get involved in any future challenges.”

Orbit4’s X400 Challenge culminates in high-energy industry finale at Wyndley Leisure Centre
Orbit4 has successfully brought its industry-wide X400 Challenge Campaign to a close, with a high-energy culmination event at Wyndley Leisure Centre (on Tuesday 31st March) that united operators, suppliers and fitness professionals in a celebration of teamwork, resilience and community.
Hosted in partnership with Serco Leisure, the final event saw teams from across the sector come together to complete the demanding 3.2km X400 format—featuring running, functional movements and relay-style teamwork.
Industry collaboration at its best
Launched on National Fitness Day back in September 25, the X400 Challenge was designed to connect the fitness industry through shared physical challenge. The culmination event delivered on that ambition, with strong participation and standout performances across the board.

Participants push their limits
Teams representing organisations including Matrix Fitness UK, Love Recruitment, EZ Loyalty, Gym Gear, PT Loop and RiskHQ took part, with impressive times recorded across both full and reduced team formats.

The physical demands of the challenge were matched by its sense of fun and camaraderie.

A challenge built on community
Beyond performance, the X400 Challenge reinforced the strength of relationships across the fitness sector, bringing together operators, suppliers and partners in a shared experience.
Support from sponsors ATHX Games, EZ Loyalty and Myzone helped drive the campaign, alongside the many friends, partners and industry connections who got behind the challenge campaign over the 6-month duration and helped bring it to life.
Looking ahead
With final results currently being collated, Orbit4 will announce the official leaderboard and overall standings in the coming weeks, alongside details of the campaign prize draw.
More than 30 teams and over 100 participants from across the sector took part in the X400 Challenge, reflecting strong engagement from operators, suppliers and industry partners nationwide.
Orbit4 launches X400 Challenge with high-energy National Fitness Day event at Macclesfield Leisure Centre
Participating teams included representatives from Orbit4, ATHX, Everybody Health & Leisure, Endurance Zone, Myzone, and Deadly Dozen. Their enthusiastic involvement reflected the inclusive and energetic ethos at the core of the X400 Challenge.
The challenge format featured teams of two to four participants completing eight physically demanding rounds—ranging from farmers carries and walking lunges to bear crawls and burpee broad jumps—interspersed with running segments, covering a total distance of 3.2km.
Feedback from attendees was overwhelmingly positive. Participants praised the event for its intensity, team spirit, and sense of achievement, describing it as a “brutal but brilliant workout” and “a totally different way to test fitness.” Many also highlighted the event’s success in “bringing people together, building connections, and creating a buzz across the industry.”

Orbit4 launches new industry-wide fitness campaign: The X400 Challenge
Orbit4, the leading digital ecosystem for the fitness and leisure industry for asset management, is thrilled to announce the launch of its latest sector-wide initiative: The X400 Challenge – a bold, high-energy workout campaign set to unite fitness operators, suppliers, and professionals across the UK and beyond.
Following the resounding success of the A-Z Challenge completed earlier this year in March – a tour-de-force that saw the Orbit4 team complete a total of twenty-six different workouts covering every letter of alphabet – the X400 Challenge raises the bar once again, challenging teams of up to four people to complete an eight-round workout totaling 400 meters per section.
“We wanted to build on the energy and engagement from the A-Z Challenge and create something even bigger – something the entire industry can take part in,” said Daniel Jones, CEO of Orbit4. “The X400 Challenge is fun, inclusive, and is all about creating real connections through movement and community.”
The Workout
The X400 Challenge is completed in a relay format, covering a total of 3.2km across different disciplines: farmers walk, walking lunges, bear crawls, and burpee broad jumps – with 4 rounds of running between each exercise. The challenge is designed for teams of 4 (though solos, duos, and trios are welcome) and can be completed anywhere – on the gym floor, in studios/sports halls, or even outdoors.
How to Get Involved
Participants are invited to complete the challenge and post their results on LinkedIn, tagging @Orbit4GroupLimited, along with their team name, photo, and completion time.
Submissions are open from Wednesday 24th September 2025 (National Fitness Day) through to Tuesday 31st March 2026, allowing for widespread participation across the industry – from internal gym challenges to global supplier showdowns.

Gyms celebrate Orbit4 fitness challenge success
The A-Z Fitness Challenge kicked off at the mighty V1be in Manchester, last April, with an action-packed Adrenal1ne class. With many amazing sessions in between, the challenge concluded on March 28th, 2025, at Cross-training Clitheroe with an intense DEKA session.
This nationwide (and international!) fitness adventure involved a diverse range of venues, including independent gyms, hotel gyms, private chains, and local authority Trusts. The initiative saw participants from all walks of life come together to champion fitness and well-being across the UK and beyond.
A Journey of Dedication and Passion
